Invoicing basics for small business owners
Everything you need to know about invoicing when running your own business, from your first invoice to following up on payments.
Payment terms that work
The most common payment term between businesses in Sweden is 30 days, but you're free to agree on something else, for example 10 or 14 days for smaller jobs. Always state the terms clearly on the invoice, so the due date can't be misunderstood.
When a customer doesn't pay on time
Send a friendly payment reminder as soon as the due date has passed. Most late payments happen because the invoice was simply forgotten, not out of unwillingness to pay. Escalate to late-payment interest or debt collection only if reminders don't work.
Correcting mistakes with a credit note
If you spot an error after an invoice has been sent, never edit the original. Instead, create a credit note referencing it, and issue a new, corrected invoice if needed.
Vanliga frågor
How often should I send invoices?
As soon as the work or delivery is complete. The longer you wait, the longer payment takes.
What is late-payment interest?
A statutory rate you're entitled to charge if a customer pays late, provided it's stated on the invoice or agreed in advance.
Do I have to send invoices digitally?
No, but PDF via email is standard for most small businesses and is faster than postal mail.
